Who we are
Ajima Innovation Pvt. Ltd. is a private limited company registered in Nepal and based in Kathmandu. We decide why and how the personal information in this policy is used, so we are the controller of that information.
Privacy questions and requests: hello@ajimainnovation.com. Phone and WhatsApp: +977 9849338116.
What we collect
We collect only what we need to answer your enquiry, run this website and keep it secure. Most of it comes from you. Technical data comes from your device and the services we use to run the site.
- Identity and contact details: your name, email address, phone number or WhatsApp number, and company (optional).
- Enquiry and project details: the service you need, budget and timeline (both optional), your message, and any project notes you share with us.
- Consent records: whether you ticked the consent box on the enquiry form, and when.
- Technical data: your IP address, browser type and the pages you request, received by our hosting provider when your browser asks for a page.
- Visit statistics: Cloudflare Web Analytics counts page views, the site that sent you, your country and your device and browser type. It does not use cookies, does not store anything on your device and does not identify or follow individual visitors, so we only ever see totals.
What we do not ask for
We do not ask for citizenship documents, passports, bank or card details, passwords or other identity documents, either through this website or in an enquiry.
Why we use it and our legal basis
We use your information only for the purposes below. Each purpose has a legal basis. If we want to use information for a new purpose, we will tell you first and, where the law requires it, ask for your consent.
- Replying to your enquiry and arranging a first conversation: steps you ask us to take before a contract, and your consent where you tick the form box.
- Preparing a proposal and, if you hire us, delivering and supporting your project: performance of a contract with you.
- Protecting this website and our inbox from spam and abuse: our legitimate interest in keeping our systems secure.
- Counting visits in total, so we can see which pages help and improve the website: our legitimate interest in running a useful website. This uses no cookies and does not identify you.
- Meeting our legal and accounting obligations: compliance with the law.
We do not sell or rent your information, and we do not use it for marketing.
Your consent
When you tick the consent box on our enquiry form, you agree that we may use the details you send for the purposes listed above. Sending an enquiry without ticking the box is not possible, because the box is needed to send it.
You can withdraw your consent at any time by emailing us. Withdrawing consent does not affect what we did before you withdrew it, but it may mean we cannot continue with your enquiry.
Automated decisions and profiling
We do not make decisions about you using automated processing, and we do not profile you.
International transfers
Our enquiries are handled in Nepal. Our service providers may process information in other countries, including countries outside the European Economic Area and the United Kingdom. Where information leaves your country, we rely on the data protection terms that each provider offers, and we will tell you on request which safeguards apply.
How long we keep it
- Enquiry emails and notes: up to 24 months after our last contact, then deleted.
- Consent records: for as long as we keep the enquiry they relate to.
- Contracts and project records for clients: as long as the law requires.
- Visit statistics: kept by Cloudflare in totals only, for the period set in its own policy.
- Technical logs: kept by our hosting and security providers for the periods set in their own policies.
Your rights
Depending on where you live, you can ask us to:
- tell you what personal information we hold about you, and give you a copy;
- correct inaccurate or incomplete information;
- delete it, or restrict how we use it;
- receive the information you gave us in a portable format, where the law gives you that right;
- stop using it for a particular purpose, including if you object to how we use it;
- withdraw your consent.
To make a request, email hello@ajimainnovation.com with the subject "Privacy request". We will reply without undue delay and within 30 days. We may ask you to confirm your identity first, so that we only share information with the right person.
Complaints
Please tell us first if you are unhappy with how we handle your information, so we can put it right. You can also complain to the authority responsible for privacy where you live. In Nepal, that is under the Individual Privacy Act, 2018 (2075). If you live in the European Economic Area, the United Kingdom or elsewhere, you can complain to the authority in your country.
Data breaches
If a security incident affects your personal information, we will investigate it and take steps to limit the harm. Where the incident is likely to put your rights at risk, we will tell you as soon as we reasonably can. Where the law requires us to notify an authority, we will do so within 72 hours of becoming aware of the incident, or within the time the law sets if that is shorter.
Governing law
This policy is governed by the laws of Nepal, including the Individual Privacy Act, 2018 (2075) and the Individual Privacy Regulation, 2020 (2077). It does not remove any rights you have under the law of the country where you live.
Children
This website is for businesses. We do not knowingly collect personal information from anyone under 18, or from anyone under a higher age that applies where they live. If we learn that we have collected such information, we will delete it.
Security
The website and the enquiry form use HTTPS, and the site sends security headers that limit what browsers can load. Access to enquiry messages is limited to the people working on your enquiry.
No method of sending information online is completely secure, so please do not send passwords, identity numbers or other sensitive information through the form.
Changes to this policy
We may update this policy as our website or services change. If a change is significant, we will tell you on this website. The date at the top shows when the policy was last updated.
